Large online audience capabilities and back to back meeting schedules may call for a need to record who within your business is attending each meeting, or for highlighting those that may have missed important company updates.

Thanks to one of the many new features from Microsoft this month, if you’re the meeting organiser, you can now download attendance reports in Teams and upload each meeting’s data straight into Excel.

Each report will download as a .CVS file and will include:

• The names of all attendees.
• When they joined the meeting.
• When they left.

Simply follow these steps:

1. At the end of the meeting select the ‘Show Participants’ button circled below.

2. A list of attendees will appear on the right hand side of your screen, now click the ellipsis circled below, to open a drop down menu.

3. On the new drop down menu, select ‘Download attendance list’.

4. Your file can now be opened and viewed in Excel, via your Recent Downloads folder. Collect this data at the end of each meeting to build a picture of regular attendees or absentees.

It’s important to note that this function will have to be turned on by your Admin.

This can make it hard to listen to what is being said. To turn off the ping, go in to Chat, in your left hand rail and find the meeting you are in.

Click on the ellipsis, which will reveal a fly out menu.

Click mute – don’t worry, this won’t mute you or the other speakers.

Carry on with your call. If you wish to un-mute, you can follow the same steps again.

Update Microsoft Teams to the latest version to ensure you have access to all features.

Log into your Microsoft Teams profile, and click on your user icon, then Settings.

You will see that you are already in General, if you look in the left hand menu. Look at the options under Application and select the box for ‘Turn on new meeting experience’.

When you are next in a meeting and want to use Together mode, simply join the meeting and click on the ellipsis in the top right hand of the meeting. Look down the options and select Together mode.

Some useful pointers are:

You cannot activate Together mode for everybody in your meeting, only for your own view.

You need at least five people in your meeting to activate Together mode (there is also an upper limit of 49).

There are two ways to set a background image – using one of the Microsoft provided background images, or uploading one of your own.

Using a Microsoft background image 

When you go to join a meeting you will see an icon for custom background, before you join a call. Toggle this central icon, which is between video and speaker.

A panel will appear from the right. Select the background of your choice by clicking on your preferred image.

Then click ‘Join now’ and your background will be applied.

Please note, if you initiate a Teams video call directly with someone, you will not be given the option to apply a background until after they have picked up!

Team level

If you would like to understand specific team usage, click the ellipsis next to the Team name and select Manage Team.

Select Analytics from the menu.

Select the period you would like to analyse, there is a choice of 7,30 and 90 days.

Channel level 

Channel analytics have arrived this month.

Channel metrics are now included in team analytics. Along with this addition comes new metrics like a running tally of posts and replies for each team and channel.

Follow the ‘Team level’ instructions above and drop down where you can see All Channels.

Meeting organisers now have the option of ending meetings for all participants. If you are running a webinar, for example, this is a great way to make sure your attendees leave your meeting promptly.

To end an in-progress meeting, go to your meeting controls and select More options More options icon > End meeting. You’ll be asked to confirm. When you do, the meeting will end for everyone right away.

Announce when callers join a meeting

Meeting organisers now have the option to announce when callers join or leave a Teams meeting, so you always know who is in your online meeting.

To access, select Meeting options and switch the toggle on for Announce when callers join or leave.

Let attendees who dial in bypass the meeting lobby

Allow callers to instantly join your next Teams meeting without having to wait in the lobby. That way you won’t have to stop in the middle of a meeting to let attendees in.

To access this setting, select Meeting options and switch the toggle to Yes for Always let callers bypass the lobby?
