There are a lot of strategies that can be adopted to make your merger, or acquisition, a success. A strong internal communications and productivity platform, that helps employees to understand the new corporate vision and ways of working, is one of them. A digital workplace can bring clarity and structure to a period characterised by change and uncertainty. As David Kaganovsky, CTO at Wavemaker, an agency recently born of a merger, remarked, “the bringing together of two sizable agencies posed an operational challenge to the team, but also presented a huge opportunity for us to standardise our ways of working, to drive greater efficiency and productivity for our customers.”

A report from Deloitte has gone even further and stated, if you create a highly engaged workforce then not only will you create a loyal workforce you’ll also experience a 3 year revenue growth rate 2.3x greater than average.

If your company is considering replacing Skype for Business with Microsoft Teams as its digital interface for communication and collaboration, rest assured that the transition is easier than it has ever been. This is largely due to improvements in the Government Community Cloud (GCC) environment of Microsoft Office 365.

However, all the same, as Teams continues to be bulked out in functionality, it is crucial for your employees to keep up to speed. Otherwise, they could struggle to use Teams to its optimum potential.

Here are examples of key features in Teams and how you can effectively use them:

Live Events

A recent addition to the range of Teams features is Live Events. With this feature, you can use a Mac or Windows Team client to produce and present Live Events for broadcasting either within the business or to a public audience. Live Events has the potential to host as many as 10,000 attendees per event.

How can you use Live Events in a business? If you wanted to air a monthly all-hands across various dispersed offices, you could broadcast a Live Event only to employees. However, if you seek to unveil a new product, this is possible via a Live Event broadcast to customers, partners and press.

The Live Events feature allows you to deliver a video presentation with Hollywood production values. However, as brought up on the New Habits podcast, businesses wouldn’t necessarily be missing out if they continued using the parallel functionality already baked into Yammer.

Tabs and Connectors

What are connectors? There are times when segments of your workforce might appreciate information from third-party sources being fed into its feed on Teams. For example, as explained by Suzy Dean on the New Habits podcast, a creative team might rely on material fetched from Adobe – a non-Microsoft product. This is where a connector can prove useful.

However, while a connector can source details from an external system, it can’t send data back to the system. Therefore, if you require such functionality, you could opt to implement a bot – a subject which we will return to…

Tabs, meanwhile, are essentially Teams pages capable of displaying material of various formats. With a Microsoft Graph API, you can now give Teams channels additional tabs, such as Word, Excel, PowerPoint, PDF and document libraries.

Bots

If you are experienced in using chat-based interfaces on a mobile device to obtain information from a business, you can probably appreciate the ease and convenience of using bots.

Furthermore, with a Teams bot, you can also quickly navigate through a broad database of your employees – though, as the New Habits panel have claimed, the larger your business (and its workforce), the more immediately useful this particular functionality can prove.

Upon its launch, mobile Teams offered a purposefully minimised experience focusing on the essentials of chatting, calling, searching, alerting, channel activity and viewing files. Today, however, the app offers all of the same features as its desktop counterpart except desktop sharing.

So, what exactly can a business already up and running with desktop Teams expect from the mobile version after downloading it to an iOS or Android device?

From Office-Based Working To Mobile Working

Perhaps it’s apt that, as more and more team members of a typical organisation opt to continue working on the go rather than hold off until returning to the office, Microsoft Teams itself has developed to allow largely seamless shifts from office-based to mobile working.

In March 2017, the app’s mobile interface put the main Activity feed, listing recent mentions, conversations and announcements, at the forefront. Filtering this activity was possible by tapping the top left-hand Search icon, and this chat-based app still fostered team collaboration, if only basic.

Back then, the mobile Teams worked best as part of a broader Microsoft Office 365 package – especially as, to edit files shared in Teams, it was necessary to open them in the relevant Office 365 app – whether that be Word, Excel, PowerPoint, OneNote or something else.

However, as we have touched upon, mobile Teams now has almost all of its desktop sibling’s sophisticated features. For example, in early 2018, Microsoft added the ability to create new teams and recruit new members to them, making the mobile app more viable for group chats.

Where Are We Now With The Mobile Teams App?

With Microsoft having finally brought the mobile Teams almost to parity with the desktop version in terms of features, Teams is now a true end-to-end solution for project management. Chat, file-sharing, meetings and real-time work are all possible across both of these Microsoft apps.

Though the mobile app debuted with the glaring omission of video calling, the software can now be integrated with your company’s phone system or calling plan to allow for reliable and clear video calls. The channels system also enables an impressive degree of communication…

For example, if you want to discuss a particular issue with your whole team, you can time-effectively do so through building a dedicated channel. Alternatively, you can assign a channel to just one person if you would prefer a private chat with them and only them.

The Mobile App: The More Flexible Option?

The desktop app is set up in such a way that, if you don’t always have your specific desktop computer with you, it will not be possible for you to keep using that app to access all of the same

team members, files and conversations. However, you could access all of those from the mobile app on any iOS or Android device – ideal if you have multiple mobile devices, perhaps including a tablet.

However, you might still have barely scraped the surface of what is possible with Teams, especially if you implemented the system in your company only recently. Don’t be daunted – there are various ways of streamlining your Teams experience that won’t require you to write any programming code.

Smooth Your Workplace Flow With… Flow

On an average day, you probably carry out various repetitive tasks that feel drawn-out and, as a result, time-draining. Could you remove a few steps from these business processes to save yourself valuable time during your working day? Yes, you can, thanks to Microsoft Flow.

With this cloud-based service, you can build custom workflows allowing you to automate what may have previously felt like convoluted tasks. Once you’ve built a custom workflow, all without needing to write a single line of code, you could complete that once-protracted task with just one click.

It’s easy to directly access Flow through Teams, with which it is fully integrated. The tool lets you create anything from a simple, two-step workflow to a complex, multilayered workflow linking various applications, including other Microsoft software.

Microsoft Flow is included in the Office 365 suite, but don’t worry if you are confused by the various customisation options. Microsoft also offers an extensive template library allowing you to pick from hundreds of pre-built Flow templates.

You’ve Got The Power – Or, Should We Say, The PowerApps

Have you ever realised that particular business processes, like collecting customer data, tracking employees’ time off or gathering feedback, could be made better with an app… except that, well, contrary to a certain advert you might remember, there isn’t “an app for that”?

In that case, you could make your own. No, don’t worry – even here, you wouldn’t need any programming know-how. Instead, you could use the Microsoft PowerApps tool to time-effectively make mobile and desktop apps capable of vastly improving your working practices.

With the PowerApps tool, too, you can choose templates from a library stocked with such if you are unsure where to start first. The apps you make don’t have to be complex; you might want to make new apps in the first place because you have deceptively simple needs that current apps don’t meet.

Nonetheless, key to the long-term appeal of both Flow and PowerApps is that, while these tools enable beginners to ease themselves in gently, they can also provide strong foundations on which professional developers can build.

For example, if your office abruptly became very noisy during a Teams call, you could struggle to locate the mute button. Even basic aspects of using Teams, like messaging or arranging meetings, can be a struggle if you have mobility or vision disabilities.

Fortunately, Microsoft has introduced a raft of keyboard shortcuts which, once you have learnt them off by heart, can prove immensely time-saving. Some of these shortcuts could save your bacon when you’re rushing to meet a tough deadline – so, which shortcuts should you prioritise learning?

Five’s Alive With These Essential Shortcuts

If you’re new to the keyboard shortcuts in Teams, the prospect of learning all of them could be understandably daunting. Fortunately, though, even memorising just a few of them can reap dividends for your productivity in practice.

For example, if – as is likely – you often need to search for items previously shared on Teams, why not hit the Ctrl and E buttons to soar straight to Teams’ command line? Meanwhile, pressing Ctrl, Shift and O together can switch off the camera – or switch it on.

If the person with which you’re interacting has to contend with aural or visual distractions behind you, hit Ctrl, Shift and M together to mute everything – including yourself – within your microphone’s range or Ctrl, Shift and P collectively to blur your background, if your computer hardware is up to it.

Various files – including your Recent files, Teams files and Downloads – are at your fingertips if you hit the Ctrl and 6 keys simultaneously. Finally, to zoom in or out within Teams, use the Ctrl and = keys for the former and Ctrl and – keys to pan out, pressing the keys simultaneously in either case.

What Are “Commands” In Teams?

Remember that search field mentioned earlier? In this, the command box, you can type “/” to see the full list of available commands, including a short description of what each one does. Select your preferred command, press the Enter key and then watch the magic happen.

You can deter other employees from contacting you if you opt for the “/away”, “/busy” or “/dnd” to set your status to “away”, “busy” or “do not disturb”. Once you are available again, use “/available” to indicate so. If you’ve been gone for a while, “/whatsnew” will show you… yes, what’s new.

A Few More Words About Shortcuts And Commands

The complete list of keyboard shortcuts and commands for Teams is pretty lengthy. However, to see all of those shortcuts available to you, there’s the option of – within the desktop or web app – pressing Ctrl and the Period (.) keys in Windows or the Command and Period keys on a Mac.

Meanwhile, on any of these apps or platforms, hitting the Ctrl and Slash (/) buttons together will show the supported commands. However, keep in mind that neither keyboard shortcuts nor commands are available on mobile versions of Teams.

Whether you would like to schedule a meeting with just one person or a whole group, you can do it through the Teams desktop or mobile software or even within Microsoft Outlook.

Whichever of these apps you use to schedule Teams meetings, those meetings can be conducted in very much the same way. Therefore, exactly which app you choose could depend on your intended purpose for the meeting – for example, whether it is an ad-hoc, one-on-one or channel meeting.

How To Schedule A Teams Meeting On Desktop

If you are already conversing with team members in Teams and realise that a dedicated meeting with them can’t wait, you could just click the Meet Now button to launch a session with these people straight away. However, what if you want to plan and advertise a meeting in advance?

Within Teams chat, below the compose box, select Schedule a meeting to book one with the chat’s participants. Alternatively, on the app interface’s left side, access Calendar before selecting New meeting at the top right or, in the calendar, selecting a time range to produce a scheduling form.

In this form, you can input meeting details, including its title, and invite people. The form also lets you add a channel to meet multiple people or specify an individual for a private meeting.

Arranging A Teams Channel Meeting

The scheduling form includes the option Select a channel to meet in, which lets you add multiple channels. However, choose carefully – as, after sending the invite, you will not be able to edit or add to the specified channels. Instead, you will have to send a new, suitably different invite.

After adding the required attendees, use the Scheduling Assistant to see when they will all be available. You can even schedule a recurring meeting by checking the Repeat box and then specifying how often you want the meeting to take place.

Arranging A Meeting Via The Teams Mobile App

This is relatively simple; head to Calendar at the foot of the interface, select the top-right option Schedule a meeting and then, under Add participants, select the intended invitees. For a meeting in a particular channel, select it in Share to a channel or otherwise skip this stage.

You would then be left to set the meeting’s start and end times and write its description before selecting Done to add the meeting to your calendar of upcoming events.

Scheduling Teams Meetings From Outlook

Microsoft Teams comes with the Outlook add-in which, once installed for Microsoft Office, will enable you to directly create Teams meetings from Outlook for Windows, the web, iOS or Android.

While channel meetings can’t currently be scheduled from Outlook, you can schedule other meetings from this software. In the desktop or web app, switch to its calendar view before clicking New Teams Meeting at the top. On the mobile apps, instead tap the calendar icon at the bottom right, switch Teams Meeting on, list the meeting details and then tap the top-right checkmark.

At this point, whichever Outlook app you are using, you should specify the invitees in the To field, add the meeting’s subject, location and start and end times and then click Send.

As you can see, many options abound for preparing Teams meetings – another reason to add Microsoft Teams to your organisation’s productivity software, as you can do through contacting us.

In part, this is why many businesses now prefer the likes of Microsoft Teams and Yammer for all real-time communication and collaboration. Naturally, at AddIn365, we’re more partial to Teams, but here’s why we genuinely think it’s a better option for you:

Discussions Become Much Simpler

Every email inbox and subfolder can come to represent a different project, client, conversation and more. When each inbox and subfolder is often already divided between internal and external priorities, it’s understandable that conversation threads can become disjointed – not just for you, but for other team members, too. That’s a whole lot of confusion.

Teams won’t help to reduce your workload, but it does combine everything you’d expect from an email account and a project management tool into one – making both essential platforms much simpler to manage.

Teams Channels makes creating a team and organising the work you do far simpler, combining a chat tool, file sharing platform and task assigning into the same place – meaning far less hunting down threads and messages in-between tasks.

No More Hunting For Lost Documents

One of the biggest bugbears about emails is that you know you’ve previously seen every document you can’t find. It’s there, right in front of you – but, no matter how many times you scroll through your inbox, it just won’t reveal itself. This is not your email provider’s fault; it’s actually doing exactly what it’s programmed to – but that’s usually not the way you want it to work as needs and priorities change.

With Team channel files, every document you attach to a post is copied into a folder that every team member can see. Teams brings everything together in one place, showing you what you’ve read, modified or uploaded yourself or who the document originally belonged to. So, no more spending ages looking for a PPT that you know for sure Mr X sent to you and Mrs Y only a few days ago, that is now buried beneath a lengthy thread of responses.

Now, it’s simply in the folder that you and everyone you’re working with on this particular project expect it to be in. Plus, this will be the case for every project you’re working on at any given time. Your files will make sense, your conversations will be efficiently archived, and everything you’ve been tagged into will be clear to see (and, crucially, find).

No Added Pressure To Always Be Available

One fear some people have about switching to Teams, or Yammer, is that it won’t work unless everything occurs in real-time. Like other collaborations tools, including Skype for Business, Teams can work this way – but only if that’s how you want it to work. In fact, one of the biggest benefits of emails is that you don’t necessarily have to respond to them right away – but Teams is also just as patient as you need it to be.

Within each team, there will be people who respond in their own time, and others who like to devour each message as it arrives – and Teams doesn’t favour either style of working. Whenever you do join a conversation, it won’t begin a new thread that’s unique to you, and you’ll quickly be able to catch up, in your own time, on what’s been said before. This goes for you and every member of the team you’ve assigned.

However, with a lot of this year still left, we don’t yet know how long the wait will be for a personal, private channel. Here at Addin 365, one of our most frequently asked questions is “what can be done right now to create something akin to a genuinely private channel?”

So, here’s our advice on what you can do to privatise your channels in the meantime.

Create A New Team

Whenever you create a completely new team, you can immediately choose to apply private viewing to all team members. If you do this before creating your project channels, any unauthorised users will be prevented from joining the new team. This would be a good method for discussing secure information, or even planning a temporarily excluded Team member’s birthday bash!

Apply New Permissions

Alternatively, you can actually limit what certain Team members see or have access to, by tailoring member permissions – effectively creating your own permission model in the process. This can be achieved in the ‘Manage Team’ option under the Team’s Options menu. You can delete channels from already invited Team members from Office 365 Groups, as well as limit what individuals can do within the channel.

Utilise SharePoint Permissions

If it’s not necessarily your group chat that’s the issue, but the files you’re sharing that need to stay private, than it’s well within your power to block people from seeing them. As Teams files are stored in dedicated SharePoint Sites, using SharePoint permissions can keep them from being seen by the wrong people. Effectively, you have complete control over who can access every item in your document library at all times.

Give Members An Access Code

Again, using the main Teams menu, you can generate a unique Team code to give to every relevant member. Select the Options menu, then Manage Team, followed by Settings. You’ll see a Team Code option, and a way of generating a randomly-generated code to distribute to select Team members. Dish it out and remind them to keep it secure, and you’ve essentially got a private Teams channel.

Don’t Leave An Old Team Hanging

Finally, once your ‘new’ Team has run its course and all objectives of its creation have been met, make sure it doesn’t stay live for others to see. While you will always be able to access every Team you’ve ever created, you can temporarily or permanently send the entire channel into an archive. You can also restore an archived Team at any point in the future, should the same people and purpose need to combine again.
